Welcome to the Aesop employee website advanced training article, first we want to look at the Advanced Mode under create absence, so we’ve got our create absence where you can create a basic absence here on the home page, then in the top right here you’ll see where it says need more options and the Advanced Mode button.
We’ll click that, this Advanced Mode page is the same as the basic absence creation section on the home page, but it gives you a few more options, for example some of those options that it gives you that aren’t on the home page are the ability to add variations.
To explain what a variation is, let me give you a few examples, let’s say we’ve got a 2-day absence coming up, we’re going to take off the 6th and the 7th coming up here in February, we want the 6th to be a personal day absence reason, but on the 7th we want it to be a professional day, so how do we do that?
On the first variation we’ll click on the 6th, make it a personal day, then come down to the bottom left where it says add new variation, click that, it will allow us to click on the 7th and change the absence reason to a professional day, what that does is that it allows you to make variations within one absence but on multiple days.
You can also do it on a single day, for example I’ll get rid of this variation here, let’s say on this day on the 6th we want to do a half day in the morning as a personal day but then we also want to do a half day on the 6th in the afternoon as a professional day.
We can make the morning of the sixth one absence reason and we can make the afternoon of the sixth a different absent reason, that’s what the Advanced Mode page does, it allows you to do all the normal options that you would do for creating an absence but it also allows you to make those variations which is very helpful.
Once you’ve finished this and you’ve entered all your information, you can then come up here and click create absence, another feature of Aesop is the ability for districts and schools to approve that once they’ve been entered.
Let’s look at what approvals will look like in the employee web, first of all if you’ve created an absence and you want to view the status of that approval whether it’s been approved, whether it hasn’t been approved or whether it even needs approval at all, you can go to the scheduled absences tab on the home page.
Then you’ll see here up in this blue bar, I’ve got an absence that’s been unapproved, this is the one we made, it hasn’t been approved yet, here’s another absence that’s been approved, let’s look at absence history, we can see absences that have already happened.
We’ll come back to the home page, on the home page we’ll click on the past absences tab, this shows me that I’ve got three past absences that have happened in the last 30 days, this tab on the home page only shows the last 30 days but if you want to see further back, click up here at the top on view more.
This gives us the option to see the last 60 days, 90 days, the whole school year, last school year or even a custom date range, but what if you have a file that you want to automatically attach to every single absence that you create like a seating chart or notes on your students?
You can do that by coming to the account tab, then clicking on absence files, on this page you can drag and drop depending on your browser or click Choose file to upload, you can upload a file that will then attach itself to every single absence that you created from there.
You can also edit files that are already uploaded, we’ve got this notes doc here, we can change the description, we can change when the document is active from and to, an active to will make the document automatically expired once it’s past that date.
We can delete it by clicking this trashcan icon, under the account tab you’ve got your absence reason balances, you’ll be able to come here and view the status of those absence reason balances, in this example this employee for a personal days has been given ten initial days, the employee has used six days and two pending days, pending in this case would mean absences that are already scheduled that apply to this.
There are two future absences with the personal day absence reason that are upcoming, then you’ve got your net balance afterwards, this employee has four days or two days left after the pending are factored in, that’s all for the Aesop employee web advanced training, for more information on other features see our feedback and sub preference list, thanks for reading.
