Welcome to our first training with how to use the Aesop substitute placement system, we’re very excited that you have decided to work as a substitute teacher for our school district, the purpose of these articles is to show you how Aesop works and the important information that you need to know with accessing the system.
The first thing that we’re going to go through is how to access Aesop, it can be done over the phone through the 800 number, you can also do it online if you go to this direct URL Aesop online.com, we also have the link on our district website.
If you go to the additional industry homepage, go under staff or teacher resources, there’s a direct link that you can access Aesop, the next important information is if you have any questions or concerns, you’ll need to contact Katherine Chrisler, she’s the substitute placement coordinator, her phone number is five five seven six eight two one.
You can also email her on the contact information that’s on your screen, if you email her, be sure to put in that it has to do with Aesop or substitute in the subject line of the email, that’s easier to see from the volume of emails that are received.
The next thing is how to access Aesop which go on to the website or on the phone, if you’re doing the online access, your username is always going to be your 10 digit phone number that you included with your application, please remember that there’s no dash on that.
Then your default PIN or password is 1212, now it’s going to be straight across from both the internet usage, if you’re going on the internet or if you call into the system, the login information will be the same, there are a couple of notes with Aesop.
It is computer-based, if there are jobs are available in the morning and you are showing as being available that day, you’re going to start receiving phone calls for positions at 5:30 in the morning, it’s usually going to go until 10 o’clock in the morning, it may go a little bit later if there are last-minute assignments that need to be filled but usually the cutoff time would be 10 o’clock.
There’s also an afternoon calling time that starts at 4 o’clock, that’s for jobs that are going to be happening the next day, if you tell the system that you wish to receive phone calls, these are the calling times that the system would be calling you.
In the later articles I’ll show you how to shut off the calling if you wish to go in and look for jobs and accept them via the internet, our next thing is how Aesop works, it is random how it’s going to contact substitutes, so it’s not going to look at whether your name is at the top of the list or your name is at the bottom of the list and call from top to bottom or bottom to top.
The main thing that Aesop is going to look at is whether it is a school that you’re willing to work at and whether it is an assignment that you’re willing to work, then it’s also going to see if you have said that you’re available for the day or if you’re not available for the day.
You’re not going to receive phone calls for jobs that you don’t want or if you tell the system you’re not available to work that day, you’re not going to receive phone calls from the system for those assignments, you can tell the assignment whether you are going to be there until they stop anytime, whether you’re available to work or you’re not available to work, so you can set that schedule in the system, it will do the calling accordingly.
You can also be proactive and searching for jobs, accessing Aesop online or calling into the system during non-school hours as jobs are put into the system regularly during the evening, as soon as the job is added to the system, you as a substitute would be able to see it.
So it is beneficial if you want to set your schedule to check the system often both in the mornings and during the day and evening, you can snag jobs as they’re put into the system, you can do it either on the phone again or you can do it online whatever your preference is.
The next thing that we’re going to go over is ranking on the system, it’s going to look at your availability if it’s a job that you want to work, it is also going to rank you based on how often you work as a substitute, you’re going to be ranked higher if you’re a substitute that you accept jobs regularly on the system meaning the system calls you, you accept a job, you’re going to be ranked higher than somebody that consistently is either hanging up the phone once Aesop calls them or are saying that they’re unavailable to work.
Because Aesop wants to grab those people that are willing to work frequently, if it is something that based on your schedule that you’re not available in certain days or your availability changes, the best thing to do is to go into Aesop and tell the system that you’re not available to work that day or when the system calls you and says that we want you to work over at Rocky Mountain middle school, you tell the system that I’m not available to work today.
That’s not going to affect your ranking, the one thing that will affect it is if you’re consistently answering the phone for a phone call and hanging up the phone, there’s no interaction that you’re doing with Aesop, you’re not even putting in your PIN, there’s hanging up the phone, that’s going to rank you lower.
So the big thing to remember with ranking is to make sure that you’re communicating with the system if you’re not available to work that day and putting that on your availability or if it’s a last-minute job that you’re not working, pick up the phone, put in your PIN and then tell the system that you’re not available to work.
That’s not going to affect your ranking in a negative aspect, remember that let Aesop and the coordinator know if you’re not available to work for extended period of time, she can put it in that your availability schedule is closed, so you won’t receive phone calls for jobs that you would be interested in working.
Here are a couple of things on how Aesop works, when a teacher requires an absence into the system, what it’s going to do again is to look at your availability, the system is going to start calling job or calling people to fill that job if it goes to the next day without being filled.
It is going to start calling during the morning or the afternoon calling times, it will start calling that afternoon as well if the job has not been filled, when the system calls you, you have to enter in your PIN, once you do that, it is going to give you the details of the job.
That’s when you can accept the job or reject the job offer, one thing to note is if you decide to accept the job, make sure that you stay on the phone long enough to get the job number, this is your confirmation that Aesop has accepted your input that you are the substitute for that position.
There has been times in the past where Aesop has gone in and they have listened to a job, it’s a job that they want to accept, but the call becomes disconnected before they get that job number, Aesop doesn’t acknowledge that they have accepted that position.
With the job number you don’t have to write it down but make sure if it’s a phone call or if it’s on the computer, you see the job number, it’s a ten digit number, it’s very random but make sure that you have that job number because that is your confirmation to let you know that the system has accepted your input as being the substitute for that position.
If you see that the phone becomes disconnected, the best thing to do would be to call the substitute coordinator and see if that job is still available, then we can put it in for you and set you up as a substitute for that assignment, if there’s a job that you want to accept, you’re going to press the accept key.
I’m going to repeat the information and give you the job number again, that’s your confirmation that the system is accepted the job, if you accept jobs, make sure that you pay attention to the length of the job, Aesop is not going to say that this is a two-day job or this is a three-day job, it’s going to go by the dates, it’s easy to accept the job.
You can know that this job is for one day, but the dates are for two days, be very careful with the dates, that way you know what you’re accepting, another thing that Aesop is going to tell you is if there are any special instructions or lesson plans, if you receive a phone call for a job, this is going to clue you to go in on the website, click on the job number in the website.
There will be a space where you can click on a notes bar, it will show you any notes that are for that position, please note that a substitute can cancel a accepted job on Aesop via the computer or the phone up to two hours before the scheduled time that the job starts.
If you accept a job, then that morning something happens, you’re not able to take the job, you can go in up to two hours before the time stated on Aesop that the job starts and cancel it on your own, if it’s under two hours, you need to call the substitute coordinator and let them know that you’re not available to work for that position.
One thing to note is that please let the coordinator know as soon as possible that you are no longer able to accept that job, the longer time that we have before the job starts, that’s going to give us more opportunity that we can try and find another substitute for that position.
As soon as you know, please pick up your phone, give us a call and let us know that you’re not able to work that substitute position anymore, we can get that taken care of, if you receive a phone call and you need to reject that job after you put in your PIN, Aesop’s going to ask if you wish to decline the job, you’ll hit the corresponding number.
You can also access Aesop on the internet anytime and say that you’re not available for jobs that day which is a good thing to do, that way you’re not receiving phone calls for jobs that you’re not interested in working or because scheduling you’re not able to work it.
Another thing that you can do anytime with Aesop is that you can change your availability for longer periods of time, let’s say in the weekend a Spring Break you’re not going to be available to work, a school will be in session at that time, you could go in and block off that entire week and say that I’m not available, Aesop wouldn’t contact you for jobs that are available that week.
If you put in a date range that you’re not available and your plan is changed, you can also go in and edit them as needed, when you put in an unavailable date range, it is not a set in stone that you can’t work that time anymore, you can go in and change it, if you want to add days back that you’re available to work or you want to add the whole week back, you can do that online.
We talked about job numbers, make sure that you hear the job number, you see the job number when you are accepting a job, that’s your key to let you know that the system has accepted you to go into the computer or has accepted you for that job.
