Booker Software Demo

Welcome to the Coker.com. This is an overview of a demo, a live demonstration is always the best way. My name is Justin, I want to start out with the website and show you what it looks like for you. We’ll start out logging into the system, we can take a look at everything such as online booking and gift certificate purchases.

When you have Booker, it’s a cloud-based system, you can log in from anywhere you have an internet connection. We also have iPhone apps, android apps and iPad apps, you can access the business anywhere you go. I’m going to login with my unique username from the website. There has nothing installed on my computer, I’m immediately brought to the online calendar, it is going to sync up no matter where you log in from.

This is what the staff personnel will be looking at on a day to day basis. We have everybody organized, we can look at all the different employees at the top, we can see their day to day schedules. I’ve set this up in the future. It is very easy to use, you can see the different shades, colors and icons, they all mean different things.

Has this person confirmed an appointment? Did they have a gift certificate? Did they book online? It’s also a drag-and-drop calendar. If you ever need to reschedule an appointment or move something around, you can do that by using the drag-and-drop function.

I’ll hover over this, I am going to take the appointment, I am going to move it to somebody else. Scheduling is easy. If somebody calls in and he is going to book an appointment, he can look across the board and click on an open spot. We’re brought up with the new appointment box. I’m going to click on my drop-down and select the service that clients are looking for.

Booker also has your entire client list on file, we can upload any existing data you might have, you’re not starting from scratch. If I start typing somebody’s name or their email or their phone number, they will pop up. I will select Jenny. I have a link to Jenny. You can customize these. If this person has special needs, you need to know them before booking an appointment with them.

It’s going to tell me that Jenny has a no-show on record. I want to accept the credit card at that time or stop accepting appointments, it is up to you. We have the option to send Jenny email confirmations, they are included with the system, we can send her text message confirmation, it’s also included. We can ask Jenny for any special requests she has.

Jenny has booked the appointment. There’s the new point. We have scheduled for 12:00 p.m. Everything in Booker has been backed up with automatic texts and emails. As soon as this is booked, this client is going to get a confirmation email letting them know their success with that booking, they are going to send them an invoice of everything that entails, they’re also going to get a 24 hour advance reminder, they are going to get an email and a text message so they can stay on top of things, it’s not going to be up to you to make follow-up calls anymore.

We’re going to back up the whole system with all these automatic emails and text. Anytime employees get a new booking, they’re going to be able to receive an automatic email, letting them know that they have a new appointment, it is a great way to connect everybody without having the middleman being the front desk. You can give everybody tools to manage their own day.

You can see all my different employees, everybody has their own login. I can give them very customized access, you can restrict them to see only things that you want them to see. For instance, I want Eric to only be able to see his weekly calendar, when he logged in the Booker, he can look more at this weekly schedule, I can restrict him from changing appointments or making new appointments.

I can restrict his access to all these other tabs at the top. There are a lot of security levels within Booker that you can take advantage of, you can customize each login. You can tie the payroll into that, you can set up specific tasks for each employee, it is a great way to eliminate a lot of administrative work that any small business owner goes through on a day-to-day basis.

We are a full point-of-sale system. We can help you check people out. If Jenny is finished with the blowout and she wants to come in and she’s ready to pay, we can do that at the front desk, you can do this from your computer or from an iPhone or an iPad, you can click take payment.

I’m using this time to upsell Jenny, she has bought products in the past, I’m going to have my front desk to see if she wants to buy more. We have Jenny’s file. We have a picture of her, we have all her information. We have a bunch of different payment options on file ranging from a stored credit card to credit.

She has unlimited stylings due to a membership package that she has purchased. We also have loyalty points that you can use to give back to your clients, they can redeem them for real-time rewards. If you want to use a new card, that is not a problem. We can swipe that through the point-of-sale equipment.

You can use any computer to do that. That equipment is plugging and playing, it works very easily with any computer you have, it’s a USB connection. I’m going to go ahead and ring her up on cash. I’m going to complete the order, I am going to add the payment and take a look at that.

We can make sure that everything looks good. We can even add a tip if we want. We can place order. Jenny’s good to go, we can print the receipt out, we can email the receipt, we have the option to Booker, it is a great option. We can make that a little bit easier on your front desk, you can always make sure that they ask the question.

We’ll jump over to the client profile, we’ll click on Jenny’s name, it’s going to bring up all the history that I have on her from previous appointments to customer notes. We can keep track of any notes you’re looking for. I can use this example to show that we can do soak notes. We can do product purchases.

Anything you’d want to know about this person is going to be stored in there. There is one other benefit. This is a web-based system so you’re never going to run out of storage space, this isn’t going to be on your local computer, we’re hosting this data and we’re also backing up multiple times per day so you can rest assured that your data is safe.

It’s always going to be encrypted and stored in our secure server, the only person who can access it is you or any employees that you grant that login permission to. You can take a look at these tabs, we have the notes, we have all the details, we have the orders page. This is great for walk-in clients if you sell a lot of products.

We sell a barcode scanner, that makes it easy for taking inventory for scanning people out if they are purchasing products. We also have quick add items for your most popular products on the side. It works the same exact way that we saw for the service checkout I accept. I didn’t put in anybody’s name. It is going to ask for the payment. It is the same process.

This is schedules. This is going to be our employee’s schedules. You can change them on a whim. I have a regular schedule programmed in there. One of my employees was taking off for the first week of April, I can go to that specific week and you can edit the system from there. She’s on vacation for this week.

We’ll jump over to the marketing tab. Booker can be used to manage your entire social media network, we can handle mass emailing, we have a whole bunch of automatic emails, these are all great for client retention. We are also focusing on bringing in new clients. If I want to update my social media, I have my integration with my Facebook and Twitter accounts, I can post that message if I have a special coupon code.

We can see email campaigns. We partner with a company called MailChimp, you can check out their website. They allow you to run email campaigns if you want to do newsletter or other holiday specials. You can target all of your customers at once. You can even drill down and target very specific views of customers. These are ones that are all going to go out automatically.

These are going to automatically get sent out from that initial notification to an appointment confirmation. These are meant to make your life a little bit easier. The perfect example is this appointment confirmation. You can customize when it gets sent out, you can customize that message, you can put all your business information at the bottom.

When I click this confirm appointment button, it’s going to change the color of the appointment box on the calendar that we were looking at before. You can go in the night before or the day of morning to check who has confirmed appointments, you can make follow-up calls according to that. We find out that very high percentage of people will confirm though this automatic email.

We are going back to show you a couple of other ones. There’s an automatic thank you email, you have the happy birthday email. If you have the person’s birthday, we’ll send them a little reminder on their birthday, you can even put in a birthday coupon code, if they come in, they can get ten percent off on their birthday.

You have automatic we miss you email. This targets at those people who haven’t been in a while, it is going to send them a reminder and prompt them to book again. We’ll jump over to products tab. Booker can be the full solution for your product and inventory needs, you can do everything from maintaining those product sales to the retail, we can take inventory, it has been made easier by the barcode scanner that we have.

We’re going to send you alerts when you’re running low on specific items. You can generate a whole purchase order within the system. We can store all of your vendors, we have nothing left out of these two products, we can select it. If I click on this order, I have different options. I’m going to look for my vendor that I purchased this from.

The vendor name will go in there. You can send this out as an email, it is a great way to save some time and make your life a little bit easier. This is the last section. We’ll jump over to reporting sections. We’ve covered many tools, we’re going to give you the option to now keep tabs on everything.

We’re not giving you the management tools, we’re giving you the options to track all those things from these robust reports, they are ranging from sales reports to employee reports such as payroll, staff sales, staff performance and client retention rates.

If you’re looking for something, you can run these reports and see how the business is performing. They’re meant to show you the metrics on what you can do to help improve the business, you can do payroll and cash out at the end of the day with your cash register.

I can spend a lot more time on a lot of things but I want to give you a high-level view. I’m going to show you what it will look like if your client books online. When your client is booking online, you can do the copy and paste that online booking link directly to your existing website when you sign up with Booker. You will work with any website that you have in existence, it is a very easy way to not have to go through the whole redesign.

When someone goes to your website and they click on that book now button, they’re going to be brought directly to your online booking engine. This is fully customizable, I didn’t do a great job. This is a basic example, you can update the banner. It’s also going to populate with all the services that you want to offer online.

About probably 60% of our clients use this online booking feature, it is a great way to draw in that new crowd. If I come to your website and I’m looking for a hair service, this is a summary, you can see the price and the duration in book multiple services. I’m going to select the day that works best for me. I can select the time range that works best.

When we click that find appointments button, we’re searching in real time. When we’re on that calendar, anything opens in that calendar is going to pop up. I’ve only returned five results, I’ve limited on how many I want to return. It is not the smartest idea to advertise wide open book, you can limit it.

I’ll select one of these. We want to give them the opportunity to scout out your entire service menu to see your availability. but once they are here, we will ask for that that those things right here. If they are returning guests, they can always log in. It will remember all their preferences. For a new client, you’re going to capture all this information such as the name, the email and the phone number.

You can send the automatic email and text message confirmations. If they want to create a password for future logins, they can easily do that. They’re not forced to do that, you can accept a credit card at this point, it will be used to enforce a cancellation policy or charge upfront for that service, it is depending on your needs.

I have completed the booking in real time, it’s not asking for that appointment, it’s literally booking it and it has backed up with those automatic texts and emails. We have a robust shopping center. You can sell products, printable gift certificates, they are always a great option. People can come to your website and design a gift certificate from scratch, they can preview that gift certificate and print it out from the home computer.

They are required to enter the credit card, they can walk in the next day, it’s going to be logged in your Booker system. You can scan it into the system through the unique barcode or the number listed at the bottom of each gift certificate.

We have stocking stuffers to put in gift cards. There are a lot of different ways to utilize this. You can sell gift cards. Some people might want to have a high-end gift certificate, you can sell gift cards, people can dictate how much they want to put on that card, you can either send it out to them through shipping or they can come and pick it up. There’s an option for delivery.

They can purchase series online. Those are things that you offer. This is a high overview of things. If you have any questions, you can feel free to reach out to your sales representative, we can take it further from there. A live interaction demo is great, this is meant for an overview.
