Welcome to the ADP self-service employee portal training session, during this session, you will learn how to register for the employee self-service portal and navigate the pages, enter and change your emergency, contact and address information, enter w-4 tax changes setup and change your direct deposit, view and print your pay and annual statements, view your benefits, summary and link to other useful Leslie resources.
The self-service portal is an easy-to-use web-based tool that is available 24/7 and allows you to manage your payroll and HR employee information to register for the portal.
You will use the steps outlined in the getting started guide which you can view or print as a supplement to this training, the steps are shown here, log in using the portal ADP com URL and click the first-time users option.
You will then be prompted to a five-step registration process, all users will use the Leslie registration passcode of Leslie, you will then be asked to verify your identity and enter your contact information.
You will be required to establish two security questions for future retrieval of your password if necessary, you will then be assigned a user ID, please make note of this, as you will use it to regularly access the system, you will create your own password using the following rules.
You should note that you can change or reset your password from the portal login page, let’s now look at how to navigate the portal, once you register, we will use a test employee for demonstration purposes as a regular portal user login using the same URL.
But this time choose user login sign-in using the username and password established during registration, we now see the portal homepage, the home page provides some customized information including links to other Lesley sites, such as the Human Resources home page and the employee directory.
Note the menu options across the top, we will begin with personal information, we encourage you to add emergency contacts as soon as possible so that HR has an electronic record of this information.
You can have multiple contacts on file and you will add them by using the add new button, you can also change your address of the personal information menu, you will do so by using the edit button, simply change our enter all applicable fields and click Save.
Note that your updated address will not display until the human resources department has approved your change, you will receive email notification, when this has occurred and your new address will display here, you can also add one or more phone numbers to the portal.
You will do so by using the add new button, please note if you are using the Leslie emergency alert system send word, you must also update your phone number, there we’ve placed a link to log in here for your convenience, simply sign in using the same user ID and password that you use to sign into your computer.
Let’s now view the pay in taxes menu option, all changes made of this menu are approved by the payroll department and our subject to payroll processing deadlines as shown here, it may take up to two weeks for you to receive approval notification depending upon when you submit your change.
There is also a link to the finance home page here which has a biweekly payroll calendar and other useful resources, we will begin with direct deposit, you can deposit your pay in up to three bank accounts due to a bank required validation period.
You will see your direct deposit change, go into effect with the second payroll after you make your change pending the bank’s verification of your account, let’s assume that this test employee would like one hundred dollars to go to his checking account and the remainder to savings.
We will add new and first choose our account type, we’ll go with checking since this is a partial amount, we will enter the $100.00 and are now required to enter a bank transit routing or ABA number for checking accounts.
This can be found on the bottom left of the check to the left of the account number, it is a nine-digit field for savings accounts, please check with your bank to obtain a valid Bank transit routing or ABA number.
We now enter our bank account number approve and save, we receive a prompt that this requires a validation pay period and our change will go into effect with the second pay cycle after our submission.
This change has been submitted to payroll for approval, let’s deposit the remainder to savings our account type this time as savings and it’s the full or remaining, check with your bank for savings accounts to obtain a valid Bank transit routing number when payroll approves these changes.
We will receive email notification and see our bank account information display here, if you would like to check the status of any of your transactions, you can choose the approval history option of the home menu.
Notice that the changes we’ve made today are showing with the status of in progress, once approved, they will show us completed, if it is for any reason, a transaction is rejected, you will receive an email and the status will show rejected to view any comments or notes regarding the rejection.
You can use the view history button in the action column, here is a sample, let’s now look at changing your w-4 tax exemptions, note that if you are choosing your state exemptions to make a change, payroll may ask you to complete an additional form depending upon the state that you’re working in.
We will change our federal w-4 exemptions, we will keep the marital status at single, but choose two exemptions when additional 150 dollars per pay cycle, note that when entering an additional dollar amount or percentage, it must be entered as a whole number with no decimals.
Once we agree and save, this change has been submitted to payroll pending approval, once that occurs, we will see the changed exemptions appear here along with the email notification.
The portal also allows you to view or print your pay statements and your annual statements such as your w-2, you may find this feature particularly useful for outside requests for earnings verification our sample employee does not have any pay statements to view another feature.
If you are paid monthly, you can suppress the printed copy of your pay statement and use the portal to view or print when it is necessary to do, so you’ll choose pay statements of the menu here and you will see options to go paperless and also to select notification that will allow you to receive an email.
When a new electronic statement is available at this time, this feature is available to monthly employees only if you are paid bi-weekly, you can view or print your pay statements off the portal as well.
However, you will still receive a hardcopy ADP printed statement so that you can view your leave from campus balances on that statement.
Finally, let’s look at the benefits menu on our benefits home page, you see links to all the Leslie benefit providers, you can also view information regarding your paid time off, there is a link here to view the Leslie holiday schedule.
If you are paid monthly, you can use the link here to log in to the Leslie online information system to view your leave from campus balances, use the same user ID and password that you use to sign in to your computer as stated earlier bi-weekly.
Employees can view their leave from campus balances on their current printed ADP pay statement to view your personal benefit summary, choose benefits summary off the menu to see the benefits that you are enrolled in our sample.
Employee does not have any benefits for display today, but here is an example of an employee enrolled in benefits, note that although you may be enrolled in the Leslie retirement plan, your contribution will not display on this particular summary page for changes to your retirement contribution or any other benefits.
