Self-service interaction exists at many different levels, it exists at the employee level, at the organization unit level, at the applicant level or the recruiting agent level, therefore, you can cover any type of functionality and interact using self-service.
Self-service is one of the key differentiators between interact and any other product, that’s out in the market, because self-service is the foundation of interact, it’s not an afterthought, it’s not anything that was attitude after the whole product was designed.
In fact, it was designed from day one to be an integral part of interact, now that doesn’t mean that you need to have extensive self-service, when you use the product, you choose whether or not you want to use.
You provide self-service to all of your employees, but whether you will be the one that handles all the transactions on behalf of your employees depending on your industry, depending on your nature of business and type of employees, you will decide whether or not it’s useful to have your employees new self-service.
But if you choose to do so, there are no limits to what you can provide to your employees through self-service, because interact is a rich Internet application and that means that the product is designed from the ground up to be used over the internet or through a browser.
At least, it doesn’t mean that you must deploy it on the Internet, it means that you will use it through a browser and that the product is designed technically to work extremely efficiently that way and using self-service workflow and alerts.
You can dramatically reduce your administrative workload in HR and payroll departments, because you will involve other people all over the company or the organization that will be able to view information will be able to approve and process information.
Otherwise, it may have been done only by HR or payroll departments, so there are the key benefits, first of all, employees can request any service from HR through self-service, there is no restriction to what can be asked for through self-service, the alerts and reminders will make sure that those transactions or HR actions that have been requested will be completed.
If they are delayed, people will be reminded, overall, it’s going to reduce your reliance on paperwork and we’ll introduce a paperless office, obviously, this will be based on the pace that you want to go with this, you do not have to deploy everything.
You do not need to go paperless immediately nor you can do, so 100% in most cases, but you will be able to reduce your paperwork wherever you feel, this is the most convenient, it empowers your employees to take more responsibility for their own data.
So the important thing is that a lot of data will have been viewed and approved and assessed already before it gets to HR to deal with it in terms of key features, we provide service requests which means any typical requests from which currently employees may be emailing or calling HR are payable departments.
They will be able to put them through the system, they’ll be able to request leave training loans travel requests and the letters they require from HR or anything else, they will be able to update their own profile that can edit to the profile that could submit changes that can review changes or approve changes.
If they have done by other staff, a supervisor needs to prove this, we do not distinguish between employee and manager self-service, because we believe employees should be able to have any access that the company wants to give them regardless of whether they are managers or not.
The decision on what functionality and employees should be able to manage within HR should not be based on whether or not they are managers, but whether or not they should be authorized to do so and what their specific role is.
In addition to the service requests and profile changes employees can be involved in any time work flow activities, they can delegate their authority to others and they can monitor key performance indicators.
More importantly, employees can inquire instead of having to call a charter payroll, they’ll be able to see their own pay slip or paystubs, they’ll be able to see their PTO or leave balances, they’ll be able to see benefits loan balances.
If they have taken a company loan or track their savings and investments plans, they’ll be able to submit their own time sheets or edit them prior to submitting, they will be able to review or approve depending on what their role in the department is.
Finally, there is no limit to the number and type of activities that you can assign to your employees through self-service that includes assigning people for different shifts being involved in performance reviews, being involved in career planning expense reimbursements or filling in completing onboarding documents.
So there is no limitation as discussed earlier, the employee self-service includes inquiries service requests the ability to edit the profile, any other HR activities and obviously maintaining and editing viewing or approving time sheets, the main benefit of this in the end will be saving time and processing certain transactions.
You will reduce the mistakes, because the people that are closest to the data will be the ones that are entering or reviewing it before it gets to HR or payroll, because everything is integrated any functionality from it.
The application can be provided to employees to handle through self-service and the workflow will make sure that everything keeps moving smoothly, let’s look at what that looks like in reality.
What we’ll do is that we’ll log in as Barbara and once Barbara is logged in, you’ll see her portal, what you can see here on the left hand side are quick menus to get to some critical information, salary information, allowances benefits, leave or PTO balance performance reviews, engagement reviews which our particular client engagements or how to delegate authority in case the employee goes on leave.
Here are the service requests, here are the activities inquiries, here you will have a dashboard that will show you the alerts, any type of alerts that are relevant that have been set up in the system will be sent automatically to the employee.
Here you will have your activity tree which gives you H, our actions and HR activities that the employee may be involved in, as you can tell, there is no limitation and in terms of functionality, we may involve our employees in.
Employees can be involved in performance reviews, they can be involved in applicant assessments or interviews over time or timesheet approvals, there is no limit here, when I click here on timesheet reviews, I will see a list of timesheets that need to be approved or that have been approved.
In this case, I can see overtime requests, I can see loan requests, I can see time leave requests, FMLA leave requests, there is no limit to what it is, so let’s go and take a look at a leave request here.
I’ll issue a new leave request and the leave request will be issued for December 15th, so here we can put the reason for the leave request and we can attach a document and here we see the number of days that are available, I’m going to ask for one day only at this stage and add my request.
Now that my request has been added, it’s gone to my supervisor for approval, so it’s currently showing under review, if we log in as the supervisor, in this case, we will notice that under self-service for Patty, there is a leave request.
Note that Patty would have been informed through an alert and through an email that went to her that said there was a pending leave request from Barbara and here are the details of the leave request.
One day has been requested and I’m going to go ahead and approve that or I could have rejected it and written my comments here, so now the leave request has been approved and the system can proceed further.
We’ll go back and look at Barbara’s self-service, we’ll log back in, take a look at a few more transactions here, you notice the training registration, employees can register for training either catalogued a non catalogue training, they can see the schedule of a specific training course that’s taking place and they’ll be able to register for that.
The same thing happens in terms of tribal requests, here is a travel request form with all the details that you may want to capture on a travel request, but employees can also be involved in other activities, they can sign up for a particular benefit plan or basically exit from a specific benefit plan.
Here’s an enrollment form for a benefit plan, remember I’m in the employee self-service, they can be involved in assigning people for shifts and creating their work schedules, if they’re responsible for a particular shift or a particular group of employees or they can look at their own work schedule that they’ve been assigned for, they can see their own performance review.
Note that our performance reviews have different looks and fields, this is one way of looking at a performance review, you’ll notice that it has different scores and different scoring methods.
Here is another way, look at a detailed performance plan which has been created for Barbara, remember I’m in Barbara’s self service, she’ll be able to look up her own performance plan which her and her supervisor are currently working on.
Once it gets approved, she’ll be able to do a self-assessment and she’ll be able to view the comments that her supervisor has entered, you notice here are the detailed goals that she’s given the benchmark that she needs to achieve specific date went by.
When she needs to achieve that goal activities, she has to complete in order to achieve that goal, he or she could put her own employee feedback and she can even go and add new goals herself.
If that is what you wanted to be able to do, once she has completed her review, the supervisor will be able to approve that and then turned it into an appraisal form, this whole process that workflow is totally flexible, you notice that she volved many other tasks, she can be involved in timesheet review and approval.
Maybe she needs to fill in her own w-4 form that will drive the payroll now, for example, these forms can be provided through onboarding and any number of forms can be given to employees to complete as part of their onboarding process.
Employees will be able to see their own pay slip, they can log in here, see all the pay slips that have been issued previously and see the current pay slip, there’s no more need to send any of that to them and they can even print it or put it in PDF and save it on their machine, save it anywhere else where they want to keep.
The other inquiry options are the ability to see the PTO balance or leaf balance to see their own work schedule to see their salary and benefit information now or they can go in here and edit their timesheets, so depending on the nature of the work that the employee does, it may be relevant to have the employee edit her or his own timesheet.
Here you see an example of an employee whose time is fully allocated to the HR department, if she wants to go in now and record that, in fact, she worked several hours for the IT department during that pay period, she can go and put in those hours and even add on time overtime and on-call hours and then send it for approval and submission to the supervisor organization unit head HR department or any other Authority in the company.
The point is that not every employee will obviously want to edit their own or need to edit their own time sheets, but certain group of employees may need to do so, they will also be able to view their attendance sheets that they’ll be able to update their own profile.
If the employee is using the self-service and if there are lots of workflow activities that are sent to the employee for processing through self-service, then you need to keep track of things even when the employee is on holiday.
Therefore, she will have the ability to define in her self-service which is particularly active, she would like to assign to somebody else while she’s on leave, for example, Barbara will assign some responsibility to Michele and she will be able to do so by selecting Michele here defining the date.
When she’s going to be on leave, she’s going for two weeks in January and I’ll be able to say I’ll leave requests leave, returns leave, schedules alerts will go to Michele, but the other activities will go to somebody else like this, we can assign our responsibilities to different people and the system will continue working even when the person who’s responsible normally to approve certain transactions is not available.
This gives you an idea of what interacts self-service can do as explained earlier, you define which functionality you provide to your employees and which will be handled by HR or payroll departments.
