Kronos Workforce Ready InTouch Clock Functionality Employee Login

Good morning, Fire Mountain Gems team, my name is Steven Bowman, I am your subject matter expert for your project implementation, I wanted to take some time this morning to demonstrate to you some of the different functionality that we have available on our time clocks, the main focus, how long it would take your employees to walk through and complete any of the functionality on the clock.

There are several different ways that an employee can punch in and punch out from the clock, especially when you are using badges, the most common way to punch in and punch out is to have two separate buttons that are soft keys on the front of the clock.

If I were to click punch in, the screen will then ask me to use my badge to swipe so that it can identify which employee is attempting to punch in, it will then say accepted punch the day and what time the punch came into the system, the same thing with punching out, that is the most common way for employees to punch in and out.

But we also have two other options, the first thing that we can combine these two soft keys into one soft key that says punch in or out, then when the employee uses that soft key, the system will determine whether or not it is an in or an out punch based on their previous punch.

You’re also able to do what is called a simple punch, when the employee walks up to the clock without using any buttons on the actual screen and swipes their badge, the system will determine whether or not that punch should be an in or out based on their previous punch.

Some of the other employee information functions that we have on the clock, our view time off request view accrual balances, view schedule request time off, if I wanted to view time off requests, I would walk up to the clock and click on the soft key, I would swipe my badge.

That’s different about accessing a time off where you’re scheduled or making a time off request is that there’s a second layer of security added which is called an employee pin, so I’ll go ahead and put mine in.

Once I enter my pin, I’m able to see all of the time offs that I have requested in the past, for example, I made a request to take off on Wednesday for vacation for eight hours also made another request on the next Wednesday for another vacation of eight hours to get back to the home screen to do some other functions, I press the home button in the bottom right hand corner.

Next, I want to view my approval bounces, because I’m thinking about taking a vacation in about three weeks, once it asks me to swipe my badge, enter my pin and now I’m able to view my accrual balances.

If I click on the accrual, it will also allow me to see how much time I’ve accrued, how much time I’ve taken, what my current balance of that accrual is in the system, how many hours I have scheduled to use that vacation time in the future.

It’s only considered scheduled time if my manager or payroll administrator has approved that time within workforce ready.

Lastly, it lets me see what my pending approval balances which was 16 hours, that means that I have requested 16 hours off, but they have not yet been approved by a manager or by somebody who’s a payroll administrator.

As you can see without touching anything, the intouch automatically took me back to the home screen, this is also an added security feature to the in touch so that other employees are not able to access my information.

If I accidentally left it up on the clock, let’s go ahead and view my schedule, I type in my pin, as you can see, it shows your schedule in a bi-weekly view anytime that you see a small blue eye on the screen, that is a day that I am scheduled to work.

So let’s click on Monday, as you can see, the schedule will automatically scroll to the day that you chose to view which was Monday, I have a schedule of 8:00 a.m. to 5:00 p.m.

If you scroll down, I’m also able to see when I am going to be working next week, let’s go back to the home screen, so I’m ready to request time off, I click the button, scan my badge and enter in my pin, it will show me all the time offs that are personally available to me.

You are able to control if some time officer is available to certain people versus others, so I want to request time off for a vacation, this request type is going to be a full day versus a partial day that says there’s a certain start and stop time or multiple days that spreads across an entire week or at least more than one day.

So let’s do one full day, we’re going to quest request off on the 25th and to the 25th time, I’m going to do 12:00 a.m. to 12:00 a.m. and the total hours per day, I’m going to put eight, because that’s what I normally work, it didn’t give me the option to either edit or accept my comment since I don’t have anything to say about this particular request.

I’m going to go ahead and click accept, it will then give you a snapshot of what you entered the system, as you can see, I have a vacation for a full day on the 25th from 12:00 a.m. to 12:00 a.m. and it’s for an entire eight-hour day.

Then click Submit in the intouch that lets me know that the requested time off has been officially entered into the system, those are all of the in touch functionality keys that you requested on the discovery document.

We also have the functionality to do other things inside of workforce ready using the in touch clock, for example, you could allow it so that your employees can view their past and previous punches to make sure that they haven’t missed any punches throughout the week.

They need to make their supervisor aware of the fact that you are also able to add a button which allows your employee to do that after they viewed their punches for the week to submit their time sheet for approval to even a payroll administrator or their immediate manager.
