New Sales User for Employee Portal Webinar Xpo

Description: The article is about the xpo employee portal. The author shows us how to learn about Zed Suite’s new Sales User for Employee Portal. Learn about its mobile friendly design and key features such as editing orders, signature capture, and available to promise.

My name is Katherine Warren and I am the channel sales manager at Zed suite. We are a sister company of vision 33 and vision 33 are our colleagues. Very happy to have you today. I’ll give you this presentation. I want to run through a slide about who’s Ed sweet is. You may not be familiar with Zed suite or maybe this is your first time joining one of our webinars so I will give you a little bit of our history here. By doing so you will know how long we’ve been around and what we do.

We are the portal company for SAP Business One. We’re a group Zed company as well. When I say that I’m talking about vision 33. The Vision 33 is a sister company. We’re both underneath the group umbrella. We’ve been an SAP business one regional partner of the year for North America for a long time.

I believe it might have been six or seven years running. We’ve been regional partner of the year for North America so we’re very proud of that. It’s something that we certainly proud of. Being the portal company for SAP business one,we have all kinds of different customers who are using our portals. We’ve been connecting customers to SAP business one since 2009.

I’ll give you a rundown of the products so that you will know what we have there. When I’m talking about connecting customers to SAP business one,I’m talking about our interconnect product. We’re connecting them to business one through the portals but also through our interconnect products. There are many ways in which we can actually help you for driving your business and adding value to your business.

Within SAP business one,you are able to connect with customers,employees,vendors. We provide integration services and customization as well. For any organizations out there,if you see something and you’re looking for something that you think this looks great. But maybe there’s a different application for this that you want to be able to do,you can talk to your representative at vision 33.

That is something that we can help businesses with on a daily basis. They’ll use our portals and our framework as a springboard for things and get some ideas to find what’s applicable to their company and then build off of that.We have a whole team of people who can help out with that as well.

We have a global market reach. It is very important to mention. In terms of our product lineup,you’ll notice my festive touches throughout here. I’m getting into the festive season. In terms of the product lineup,we’ve got several different products for example the customer portal. The customer as it implies.

What you’re doing is extending the information,the customers information in SAP business one out to them through the portal. They will log in and they can do all things such as check their statement,take a look at their billing,take a look at any previous orders that they’ve done or any payments that they’ve made,they can make a payment through the out-of-the-box customer portal. If they want to create an order, they can do that too.

You can use order pad for customer portal to do that. If you want them to have a very full robust shopping experience,or I can call it a shopping cart experience. It’s an e-commerce but it’s not B2C,it is B2B only. I need to stress that. I have through the B2B marketplace for customer portal.

The customers can log in and then be able to browse product in a lot of different ways. They can take a look at things by collection,they can take a look at things by having different store fronts,different items and item descriptions and pictures and all kinds of good stuff. The cool part about that is all of that is managed in SAP Business one. We’re taking a look at the item master. We’re taking a look at all that information and that’s all coming from business one. That’s a small section about customer portal. If I have time I can tell you more about it.

I’m going to log in to B2B marketplace in case you haven’t seen it and I will show it to you. We’re going to talk about the employee portal in the sales user. Our new-release is all about the sales user. I will walk you through the employee portal. I’ve at a high level now. I will tell you what it does.

We use this product internally. We use it for some reporting capabilities. In my day-to-day,I use employee portal to go in and slice and dice sales information and take a look at historical data. I can do all of this in employee portal. But my colleagues may see different reports than me.

I’m going to show you about this reporting and the role based reporting and talk to you about how that works. You can see a lot of different information through the dashboards. That’s all with employee portal. For the sales user piece is where a sales person can go in and manage their pipeline.

We’ve done some enhancements to this. The sales user was fantastic. We’ve got lots of customers out there who are using it. But we listen to our customers and we heard their feedback. We will add some different pieces into that product based on the customer feedback. I had done several demos and people were saying we want to be able to have the ability to have signature capture in there.

We listened and we put that into the product. We’ve even done things for example taking the mobile first design for that and focused on that to make it easy for someone to use from a mobile device. All of our portals are mobile friendly but this is even a step above that. I’ll show you some screenshots of that. There’s also an expense user for employee portal too. Someone can go there to manage their expenses.

They can put in an expense request or a claim and photos of receipts to the claim. They can add a picture in there in a request to disabled if I want to spend this money. There are some supporting documentations for that. It is very important for accounting and to keep tracking of all these things.

The vendor portal is there. That’s a reporting tool for vendors. If there’s some practical applications or some other way that you can extend that out to the vendors,you must talk to us because we can help you with that. We’ll talk about the interconnect at the end if we have time. The interconnect is very important. That’s a product which you can use to connect about anything to SAP Business one.

The cool thing about interconnect is when you see the real-time capabilities of customer portal of employee portal of vendor portal and you see all this information coming through,that’s showing you the power of interconnect. We’ve built our portals with a pared down version of interconnect. That’s how I will demonstrate it. I want to show you that. This is the power of that. No sync and no database are all real time. That’s the power of the interconnect tool.

We’ve got our SPS cloud EDI connector,that’s built straight into SAP Business one to help you manage ETI. We have a partnership with SPS commerce so there maybe something that you are interested in. You can still connect with your vision 33 representative and we can get you in touch with me.

We can chat further about that. We’re going to focus on employee portal with sales user. If I have time,I’ll pull up B2B marketplace as well as interconnects. In terms of the portal features across the board,I always like to talk about this to give you an idea of what all these portals mean and what do they have in common.

They’re all real time with SAP business one. I am talking about it in terms of the interconnect and also the real-time capabilities. They’re responsive design too. so What does that mean? I can take all these portals and use them from my cell phone or from my tablet as long as I have an Internet connection.

I can take SAP Business one anywhere with me,in my pocket or in my cell phone. I can access all of that through the portals. You can access anytime anywhere from any device. I’m going to show you an application of that with this sales user piece. Now the currently supported version are 91 and 92. The 93 is coming out so when 93 is out,it will be 93 and 92. We always support the most recent version.

The new release I’m showing you today applies to 92 only. When we develop something new,it is applying to the current version. These are all compatible with sequel and Hana. They are also very important. The portals come with a cloud-based option as well. If that’s something you’re interested in and piques your interest,you can speak with your representative about that. Foe all of these portals,you need to have one indirect license for SAP business one to be able to go ahead and access them.

Now for the employee portal. What is that? We’ve got some real-time dashboards. I’m going to show you those. They’re reports in the form of different types of widgets. I’ll show you about that. The dashboard roll pages are configurable,you can have these different dashboards and then have different roles. That’s all out-of-the-box functionality. You can slice and dice data by using different types of reports.

There’s an unlimited number of users for employee portal. When we get into sales user,it requires employee portal. You have to have employee portal for that. Sales user is a per user license. Within that you can fully manage the pipeline and update information in real time by using the opportunity board. That’s where you can go. I’ll show you this as well. You can manage tasks,notes and attachments. You can change the opportunity value and drag things through sales stages. It also allows you to access to a 360-degree customer view. You can create sales orders and quotes as a sales user.

There’s also important to note that everything I talked about with the reporting. They have access to that. The employee portal is required. The new releaseis why we’re all here today. This is the most important piece. This applies to sales user for employee portal. I’ve talked a little bit about the mobile-friendly design. I’ve got some slides after this to show you that. I’ll dive over into the demo first.

I’ll show you those screenshots that I have for you. A few things about this are mobile first design. We have edit order and on open order and quote. The orders have to be open the quotes have to be open and they need to be able to be edited. That’s out of the box functionality. It is great for any sales people out there who have created a quote they want to be able to go in and edit. If there’s an open order,we want to be able to edit that before it closed. We can do that now out of the box. We made it easy to refill in order for a particular customer. The sales person is in there,they can click refill order. The order is refilled. Submit that through the order pad.

There is the signature capture. That is a confirmation at the time of delivery and this lends itself a lot to the mobile friendly and mobile first design. It is available on the desktop too. I have some screenshots of an example that I did myself earlier here in the office. I signed for something in here and and submitted that. You’ll see that momentarily. It also available to promise. This is another feature that everybody have been asking for us. They were saying hey we want to be able to know how many of these are there. What’s available? What can we sell? What’s here?

This is allowing users to see real-time product availability. What I’m going to do now is jumping over here. This is the login screen for employee portal. I’m going to go ahead and I’m going to sign in. You can see there I had a unique user name and password.

Everybody has it. If you have employee portal,your employees have to have a unique username and password to be able to sign in. You can take a look at the dashboards. I talked a little bit about this at first. We’ve got this dashboard here,this is the sales exec – board. We’re taking a look at several different widgets which are essentially graphs in the form of reports. It’s like you’ve got a map here. It is essentially another type of report. We’ve got a bar chart. It is another type of report and then we’ve got some key performance indicators.

If I click on the COG on the top right-hand side,you can see I have a whole lot of different widgets available to me. If I say I want to add a new row,I can come down here and I can even drag and drop. The cool thing about this is you can drag-and-drop. You can drag the widgets in and save that view. If I scroll down,you can see it adds a row for me. I can filter my date up here on the top. If I do not want that last row in there,I can come in and click my cog get rid of that row and then save that view. It is very cool and very easy to use.

In terms of the role based on reporting,I’ll show you that in a moment. We’ve got sales exec sales manager. This is another type of dashboard. That maybe a manager level. You can drill in on a particular sales representative. We can see how Kathryn is doing.We can click the COG and then drag and drop in the widgets that are available to me.I can see the data that I want to see. My sales is an example of a salesperson for viewing where they are able to come in and see more information about their own particular sales.

Now looking at this from a business one perspective,if I come over to SAP Business one,you’ll notice the Zed suite manager. If you haven’t seen this before,this is where the Zed suite manager lives. This is where you can go to manage everything related to this. We can come down and take a look at manage dashboards,sales exec sales manager and my sales. These are the same three dashboards we looked at out there on the portal.

There are all the roles that have access to the sales dashboard. If I drill in a level deeper,these are all the roles that are here in SAP Business one. But you can see only the ones with the checkboxes. These are the ones that can see particular dashboard. Every single report and every single widget have a query associated with it. If you want to be able to create a report for a particular data set,you can write a query for it.

You can create a report for it. It’s as simple as that. To show you a couple of examples here,let’s go into this one here. We’re taking a look at it. Behind the scene,this is a widget.You can take a look here. We’ve got the widget name in the display label. You can see the type out of the box and the type of widgets that we will ship with the product. There are whole varieties there. This is the query that associated with this particular widget. Every single widget has a query associated with it. Every report has a query associated with it. Some widgets have some parameters if I take a look at it. The KPIS has a different set of parameters with them.

This is something that a little bit different. You can write a query for the data. You can create a report for it. What I’m going to do now is come over here to my reports. We’ll take a look at a couple of different report types.If we take a look at order status report here,this is an example of a grid layout. This is one of the types of reports I use so I can come up here under this where my cursor is,click it.

I can type in the word “closed” and then it’s going to show me all of my closed orders. I can click on a particular the icon up and I can click open. Then it’s going to show me all of the open orders. I can do things in here like I can click over to a particular open order.

Now we’re taking a look at those document details here,you can see up here we’ve got some new fields. If you’ve seen this before,I can actually some of the new functionality. Copy this out to an order. Copy this out to a quote and you can make it easy for the salesperson to be able to go in. Then copy to quote and copy to an order. It’s all about making things easy.

This is an open order,this is the new functionality so I can come in here and I can click on edit. I can come in and click and edit this order because it’s open. I am showing you a little bit about how all of that work. What I’m going to do now is coming back over to my report. I will come into my order statusand I’m going to show you here.

If I drag this up to the top by a particular column which I’m doing,I’m grouping by business partner name. You can create custom views for this too. You can export anything out to excel. I can come in here to create a custom view that we can see get all kinds of custom views in here.I can create a custom view here. I’m going to drag this up. I’m going to say Advanced Options.

Let’s put Catherine’s. Choose Catherine’s BP report business partner report. I’ll click OK. That’s going to be here in the drop-down. The nice thing is you might have several people who are using this type of report,you can come in here and you don’t have to reinvent the wheel every time.

You can quickly and easily do that. You can export this out to excel as well.In staying with the reporting here,taking a look at the order analysis. The order analysis is an example of a pivot. This is a more powerful reporting tool. You can come in here and take a look at things. These are all query driven as well so we can come in and we can take a look at a particular cross set of items. We can take a look at them.

We can pull this out if we don’t want to see that. We can take a look at things by year or by month. I’m always looking at sales data by year and by month. I like to look at historical data. We want to look at 2015 2016 and 2017. You can drill in on a particular cell to see more information. If I say I want to see what this is comprised,you can also create custom views. You can export that out to excel.

That’s a little bit about the reporting functionality with employee portal. In terms of a sales user,we will take a look at my opportunities. This is where we can get into the opportunity management piece. I can come in here. If I want to change an opportunity value,I’m going to come in here,I can change this to 25,000.That is updated in real time no matter what types of sales stages you are using.

You can have that set up in SAP Business one. I have six setup here. I can have five,you can have three whatever you’re using. I have six setup here in my example and you can call them whatever you want. This is coming straight from business one.

I can flow opportunities through the pipeline or kick them back. If I want to kick it back to a stage,I can do that. Hopefully that doesn’t happen. What we can do is kick it back and then flow it back down through. We can even do things here such as add a task. I can write call Catherine to follow up. We can set a date here for that. With the date picker,we can say we want this to be in December.

You’ll probably notice it if you’ve seen this before. This has a new look and feel. So it gets a very slick modern design here. New look and feel for this so we’re very excited about that and I am excited to share that with you. I can come in here and even add a note. I can say follow up, speak with Catherine,talk about pricing or other things you want to put in. You can even add files and supporting documentation in there. Now you can see this task and note. They are associated with this particular opportunity.

If I come into any of these,you can click into a particular opportunity level or even a business partner level as well. If I click in to the business partner level,I can see more information about this customer. You’ll notice the refill is up here on the top. The new functionality is where we can go in. It is one of a couple of places we can go to refill a particular order. I’m not going to do that. I’m going to keep going.

From here we can quickly and easily create an order or create a quote or even edit. If you met a new contact or have a new address that you want to add in here,that happens always,so you can come in here add that. And then that actually writes back to the business partner. It is very cool,very fluid and fantastic. It is also easy to use.

You can see up here on the top,there are several different types of information up here. You can use the adaptive portal framework. You have the ability to add some different types of information here out of the box or maybe limit information if you will. If you didn’t want all of these types of information there,you can choose to be out of there. Then I will tell you how you want to configure it.

On the left hand menu,you’ll notice this is different. A couple of things are here. We can create an order directly from this. You’ll notice the interface if you have seen this before. It’s going to be different. I click on place order. What I’m going to do is to select my customer. I’m going to come in. I will still select Smith’s even though I’m on the screen now.I will start typing in Smith. You can do that or the card code.

It’s going to find it for you,then all you have to do is go ahead and click this arrow here. This is bringing us over to a brand new look and feel for our order pad within employee portal. Now we’ve got a little bit of a different configuration here. We’ve got Smith’s cosmetics up at the top. We’ll select our person who is associated with. We can go ahead and search for items by a name.It is what we can do for it. I will type in the word rain and then you can see the rainbow color printer.

Another new piece of information and functionality is available to promise. That’s here. There are the number of available. We can see how many we have available. In terms of ordering,if I happen to know the code,I can  come down here,type in the code.

For the number available,it is very cool. This is the whole available to promise. That is at the order level. Now down here is my shipping and billing information,that’s pulling all from the business partner. I can come down here. I can select my shipping method.

I have the ability to add custom addresses in here too if you want to be able to do that. I can set my requested delivery date for out in the future and add in a PIO number if I want to. That looks good. You can add in some notes and order for new office. I can refresh my totals over here. This all looks good to me so I’m going to go ahead and I’m going to submit this order.

Now using the power of real time connection,I can come over here and I can show you that this order has come across real time in SAP business one. Here’s the order that we did. All special pricing is supported here. I haven’t mentioned that. But it is. That it out-of-the-box. You can see here we’ve got the delivery date,everything that I had out there. All things that I put in the portal are here in SAP business one. I will use the power of real-time technology. That’s a little bit more about the sales user. There is a couple of other new things I want to draw your attention before we wrap up.

I want to tell you about delivery details. This is something new as well. If I click into delivery details and the signature capture,that’s something that we kept hearing from a lot of our different customers and prospects. You can see here. We can take a look at a particular delivery.

We can see whether it’s been signed. If any have been signed,it’s going to show yes and you can choose the type of delivery on the top. You can see if something in here has been signed. If we can say show sign,there will be something signed. It’s going to show it. I had that unchecked before so it was showing me things that hadn’t been. This is an example of something that has been signed.

I signed this early earlier here at my desk. That’s something I did there for my cellphone. I’ll show you what that looks like on a phone too. I’ll show you what this interface looks like. If I want to sign something,I can come in. I’ll drill in here. When we scroll down, we can see there’s a section here on the top.

We can see signature capture. There’s a red X that means it hasn’t been signed. I can say receive cash,I can say here received cash on delivery and receiver name. It’s going to be me. Now I’m going to go ahead and sign this. You’ll have to bear with me. I’m not even going to do a full Catherine,I’m going to do a C. It looks a G. We know it’s me. Then save my signature.

That’s now being assigned. You can see that this green check box has been checked. That has been signed and that’s been saved in business one associated with this particular delivery. That’s a little bit about the new functionality I know and I’ve been talking about it lots of times. This always happens. What I’m going to do now is to flip back to my powerpoint presentation to show you what this looks like on a cell phone.

I took this earlier. I have an iPhone 7 so I did this in my office earlier today. This is what the signature capture looks like. I flipped the phone sideways and then I click this before so I signed it and then I took a screen cap.I hadn’t click save signature yet. I’ll show you what that looks like. This is what it looked like vertically. In terms of the interface,I was talking about the mobile first design.

Down on the bottom,we have this tray. In that tray it’s allowing you to quickly and easily access a couple of different things such as your dashboard or add a new lead or maybe search for a customer. You can still access the entire menu by clicking this icon up here. This tray is also high double as well so you can hide it away.

I popped it up. All you can do is touching the arrow here. It’s sitting down there. Then you can pop it up.You can navigate around. That’s some great new functionality there. This is what it looks like when it’s been signed. So you can see here’s the green checkmark. I still have this sideways. My phone has been flipped sideways. It was easier to sign that way. I’m better at signing by using my fingertip rather than a mouse.

This is showing me as well. Another open delivery screen we can see here is this show sign. This is similar to what I showed you a couple of minutes ago. What happening is you can see this has been signed here. It’s what I’m showing you for what this looks like on my cell phone. I’ve got a couple of other slides to go through. We’ll wrap up. I want to mention B2B marketplace to remind you of that. That’s an extension for customer portal. If you have a need for your customers to be able to log in and take a look at different types of reports,access their own invoice information,billing information, payment information.

They can even go in and create an order. But if you want them to be able to have this shopping cart experience and be able to see pictures and descriptions and all kinds of good stuff or be able to browse by collection,they can do that through the B2B marketplace. That’s something that can help them with that. Everything is managed in this AP Business one. There are even different types of things such as supporting for real time shipping types and rates that they can choose at the order level.

I can never end a presentation without talking about this for a minute. I mentioned it at the beginning but this one’s important. You can connect systems inside or outside your organization with SAP Business one. What does that mean? You can keep your familiar systems in place.

If you have a system,you like using it but it’s not talking to SAP Business one,this can help you with that. If you’re considering purchasing a system and it doesn’t talk to SAP business one,this can still help with that. Please consider that. You can go through that by yourself.
