The Introduction to Kidcare Training Class at Login.com

Welcome to the introduction to KidKare training class, my goal is to give you a quick overview of KidKare and its features. KidKare can be used by providers who participate in the Food Program or by independent providers that just want to use it for tracking business information and voicing parents, either way you’ll get a glimpse of what kid care has to offer during this quick training.

If you do have a food program sponsor, KidKare is the new program for recording meals and meal counts to submit to your food program sponsor. It is replacing all kids products which includes Minute Menu Web Kids, Minute Menu Kids, Minute Menu Kids Pro and Kids to go.

KidKare is a website, which means no downloading and wasting valuable space that you could be using for photos and no updating, it also means that you can access KidKare from about any device with internet access and best of all you’re not limited to using any specific browser.

To access KidKare, you are going to go to KidKare.com and you’ll see this page, you can click the login link at the upper right area of the screen. If you’re on a smaller device such as a phone or tablet, the menu bar might be collapsed and you’ll see three little bars, so you’ll click on the three little bars and then you’ll see the login option from there.

Once you’re logged in, you’ll see a menu bar down the side of the screen or if you’re on a smaller device, you’ll have to hit the three little bars to open the main menu. The My kids screen is where you can view your children that are already enrolled or hit the add child button to enroll a new one.

Hit the little orange gear to select which children you want to review on screen by status either active, withdrawn or pending, decide if you want to view infants or non infants or both and change how the program sorts your children either by first or last name. Tap a child to view their information, from here some information may be editable, you can also withdraw child if needed or print an enrollment form.

Go to the my site section to view and edit your personal information, go to the check in and out time screen to mark children in attendance for the day, tap a child’s name to mark them in at the current time or click the down arrow to add or change the time manually. When a child leaves for the day just tap their name again to mark them out.

In the meal section, you can enter meals and meal counts, add and edit menus that you frequently use and schedule menus for both infants and non infants. On the inter meal screen, the date will default to the current date, then you’ll need to either select infants or non infants and select the meal you wish to record.

For non infants you will record your menu either by selecting a pre-existing menu or tap in the field and start typing to pick a food from the list. If you would like to save one of your menus you can do that by clicking the create my menu button.

Next tap the name of each child that was in attendance for the meal, hit the three little bars to record children who attended the meal when they would normally be in school because either school’s out that day or because they are too sick to go to school. Once you have recorded all children who are present at the meal service, hit the Save button recording meals.

For infants, it is slightly different because you will record the foods for each infant individually. Tapping an infant’s name will reveal the meal components, if you have a food program sponsor and participate in the CACFP, also known as the food program, you will send your food program documentation which includes child data, attendance and meal counts to your sponsor at the end of each month.

Sending this documentation to your sponsor is easy, you must agree to the terms and conditions before you can hit the send button. Once the data has been sent, your claim history can be viewed on the view claim screen, go to the reports screen to view data and print reports.

Select a category and then select a report, some reports will actually be downloaded to your device whereas other reports will appear on-screen. Reports that appear on-screen may even be clickable. If you want to print an actual physical copy of the report, you can collapse this heading by hitting the arrow so that part won’t actually print on the report and then when you want to print it just hit this printer icon.

If you don’t already have access to the accounting section, you can subscribe to those extra features for $8 a month, if you’d like to sign up for the accounting features, hit the accounting link from the menu bar and you’ll see information on screen about how to sign up.

The accounting section allows you to create invoices, create recurring invoices if you want, email those invoices to parents if you want, record payments for invoices and you can also record business expenses, mileage, tracker vehicles and more.

The calendar section of the program allows you to record days that you are closed when you are open on a holiday or days that you plan to go off-site for the meal service. Drag and drop the events on to the calendar, tap the other options at the top to do other things.

For example, select child and then select a child from the list, and you’ll see the options for children, you can select the meals option to view your meal records and any day with a recorded meal will appear on the screen, you can also schedule menus in advance, copy and paste those menus.

The messages feature can be accessed from here, the number of unread messages will appear at the top right and you can tap the envelope for a quick preview of the messages. And finally, tap the get help option to leave KidKare and open the KidKare help site, from which you can watch training videos, read instructions, sign up for webinars or even submit a support ticket.
