We’re going to take a look at the training module, the SP training portal is a SharePoint application template, it is built on the standard SharePoint user interface and makes use of lists libraries, and other things like site pages in SharePoint. It supports all editions of SharePoint, including office 365 and most importantly, it’s 100% customizable without programming business power.
Users can change the application for their needs, including the training modules have a consistent user interface and design, so it’s easy for employees to use, because it’s built on office 365 or SharePoint on-premise. It allows you to provide a single platform for your employees to do business, it can leverage existing forms that you already use and it’s easy to deploy.
Let’s take a look at some of the features, the SP training portal makes organizing and administrating training easy for everyone from setting up courses and classes to tracking certifications, obtaining feedback, everything is covered, so let’s take a look at it for our two parties.
Here the training staff, we provide a staff site, which allows the training staff to capture service requests in a help desk type format for a request for new classes materials. They can manage course development and set up classes and track registrations for those classes, they can track success with class surveys, they can manage course materials in document libraries, they can manage vendors and instructors related to the course.
And they can track employee certifications and renewals for those certifications with reminders. Overall, there’s also a training dashboard that helps them measure their success for employees, they enter the employee training portal, this is where they can search and browse a course catalog, register for classes, access course materials and reference media.
They can request new materials or courses with the service request function, and they can see the status of their certification renewals. Now let’s take a few minutes to look at a live demo of SP training portal, as we’ve discussed, there are two views of the training module, there is the employee training portal, this is where employees go to access information about courses sign up for classes, make service requests and other things.
The other side of it is for the training department people themselves, where they manage courses, classes and registrations. So what we’re looking at the internet portal from SP Business Suite, if you bought the module standalone, you could also go to it through a URL, so let’s take a look at the employee experience.
Click on training port which takes them to the training portal itself, you can see on the front page that it has set up to give them as much information as possible right on this page. They can see what courses they’re registered for, what completed courses they’ve done, what renewals for certifications are coming up and also service requests.
They have put into the training department, if they need to create a new service request, they go up here, browse the course catalog, they can register for a class and also to a satisfaction survey related to any course they’ve taken. They can see training announcements new courses that have come out new training materials and links to different training pieces for online training.
There’s also the upcoming class schedule for the month. The course catalog comes up in a dialogue box, from here, they can take a look at any course as the description and other information about the course. They can also see what classes are available from the course view as well as sign up for a class.
One thing you’ll notice is that there is a left-hand navigation over here, an employee would not see any of the left-hand navigation in this portal. Now let’s change our roles and become part of the training department, the training up site is built much like the other department sites within the SP Business Suite.
Right on the front page, things are typical, perhaps somebody calls in with a service request, you can see the service request queues, create a course schedule, a class, then other things are right at your fingertips. you can see the latest class schedule or this week’s classes out here, we can see any new service requests that have come in here as well.
And if we take a look over on this side, we can see there’s a dashboard as well as a service request dashboard in a training dashboard. You can manage service requests here, course management is set up here with courses class calendars, class lists, look at registrations vendors trainers course documents, completed course lists as well as certifications out here.
There are class resources, this is for staff to do such things as a time off calendar or task list tracking, there are libraries which you may keep course, materials and other things. And you’ve got portal management, this is managing the content of that employee portal.
Let’s first take a look at service request, this is basically a help desk for the training department, so people can request different things such as materials or other things, even new class request so that at any time they can take a look across all service requests, manage them and assign them to different people.
Here’s a request for a new CPR course to be offered. Here we see the request for the course, there can be a full description, we can see who it’s assigned to. At this point, it’s not assigned to anybody, there’s a work log that you can keep track of any update or information, and you can even create an assigned task related to any service request that came in.
There’s also a service request dashboard, so you can see how many requests came in by month, how many are out there by status or by priority.
You can change this any way you want, maybe you want to show it by category or other things. You can also drill down, and get detailed information from this dashboard. Now let’s take a look at course management, it is built around the courses themselves, so you can define new courses, track courses, how many people signed up and how popular one course was versus another courses.
They have a class schedule or class calendar. Also there are registrants for those classes, there may be vendors related to a course, if vendors provide the course or a specific trainer, you can cross-reference documents to a course at any time.
Let’s take a look at a course, we have a list of our courses, this is actually the course catalog in essence. And if we take a look, we have categories for courses, you can have prices. Now let’s take a course, we can see that it’s linked to it, we have a course, we can see all available classes that are offered any course documents related to this and any trainers that may be doing course training as a reference.
So from here, you can see everything related to the course. If you’re doing class planning, you can open up the class calendar to schedule class. We can see all the classes offered, if we open them up, we can see their location as well as how many registrants and other people that have signed up and other things about it.
If I want to create a new one, I can do it as well looking at the schedule and the schedule of course can be looked at in a week or even a day format at any time. We can open up a class and look at details about how many people are registered for the class what documents are related to the class as well.
If a certification is involved, it will show up in the completed courses list from this list. You can keep track of when this certification will be renewed next so that a reminder can be generated throughout all the applications. There are workflows built-in, which provide notifications to registrants to certification reminders to everything, involving a business process.
We have email reminder and notification workflows built into the module and finally related on course management. You can keep track of vendors and trainers, and see what courses or classes vendors are providing as well as course documents and other things related to the courses. If we select a vendor, we can see general information contact information what courses they provide and what classes they’re holding.
Finally, let’s take a look at the training day, we can get an overview of performance of classes and registrants, here’s a number of registrants per month and you can filter by month or course registrants, by course class attendance and other things.
