Getting Your New Sharepoint Team And One Drive Sites Setup

Today’s tutorial is about office 365 SharePoint sites both the team site and your onedrive site, it was formerly named SkyDrive pro. We’re going to help you get your computer set up for working with the SharePoint sites, everything we do today must be done in Internet Explorer. Many of you may use Chrome or Firefox as I do, however for today’s activities, we need to use Internet Explorer.

I’m going to go ahead and open up Internet Explorer. When we migrate you to office 365, we should make your SharePoint address be your company name.SharePoint.com, I’m going to go ahead and login to my SharePoint site. It’s going to ask me to login to the portal. You can use the email address and your portal password to do the login.

You should check mark this box that says keep me signed in, it will not prompt you to do logins like this. It will help the synchronization work a little bit better. I’m going to go ahead and sign in, we’ll be taken directly to our SharePoint team site, yours will look something like this.

We’ve added some more document libraries, you may not see many items, but you’ll probably have tasks and documents like that. We’re interested in getting your browser set up to interact correctly with the SharePoint sites. Once we’re logged into your SharePoint site, we’re going to go to the internet options in Internet Explorer, that can be done with the gear. If you have your menus, you can go to tools and look for internet options.

Once you’re in the internet options screen, you’re going to go to security, you’re going to click trusted sites, you’re going to click sites, it will automatically populate your SharePoint site, we want to add that as a trusted site which tells Internet Explorer the you trust this site.

We’re going to click close and we’re going to click OK, we’re going to do the same thing one more time in onedrive. Onedrive has a slightly different address, it’s almost the same. In Onedrive, only you have access to your onedrive, it is not a place for you to share documents with other people, it’s a cloud-based storage for your personal items only.

You can use the team site for team sharing of documents. I’m going to do the same thing. I’m going to go to tools, find internet options and follow the same steps. I am going to find security trusted sites and click the sites button, it will have my onedrive address, I will add that. Let’s go back to the team sites.

I can do that by clicking sites and the team site logo. I’m back in the team site. What’s the best way for me to copy my documents from my server or my desktop? In this documents library, I’ve created a company files folder, there are some files.

You have the ability to create a new folder and give it a name within this new document link. I’ll call this test, it creates a new folder called test. I can upload existing files, it’ll go to my computer and I can browse to the server or to my computer and upload those files. You can do that one at a time, it’s for files only.

Another way to do this is to make the Internet Explorer window a little bit smaller, it has the ability for you topick up documents and drag them into the SharePoint site. If I want this in the company folder, I could drill into the company files folder and then pick up this document and drag it, it would go there.

That is one way to do it. That’s only available for files, it can’t be used with folders. If I try to do that with a folder, it will give me an error, this only works for files. Once you’re in your documents library, you can click the library tab and look for open with explorer option, this is the key.

It’ll take a moment to open, you need to be patient. Once it opens, it will open your SharePoint document library in a standard Windows Explorer window. If you see this semi invisible forms folder, you can leave it, it’s a required folder for SharePoint, it’ll make things not work correctly if you mess with that folder.

I can see my company files folder, I can see my test folder. Once I have this window opening, I can shrink out of the SharePoint site. I can drag entire folders. I can go inside the test folder, I can grab this whole thing, I can drag it in there, I can drag other folders in there, let’s grab this one.

You shouldn’t grab 7, 000 files at once and drag them to this window because your computer will be tied up for a while, it has to copy all that over your internet connection and it is going to take your internet connection to a crawl for a few hours. We recommend you do a few folders at a time. I’ve copied those, it’s very easy, it works like a windows explorer menu.

I can go back to the site. If I want to refresh it, we can go back to browse and do a refresh. All those items will be there. If I go in the test folder, there’s the office 365 demo folder. That’s the window you want, that allows you drag files from your folders into the site without even having to deal with uploads.

Your SharePoint team site has the ability to do synchronization, it means that all the files and folders in this documents library can be automatically synced to your local My Documents folder, this makes it easy to work on items, you’re no longer having to deal with the website or the cloud or this SharePoint site, you can work locally into the synced folder.

For any changes you make, they will sync directly up to the cloud. You need to make sure that you’re in your Documents library that you want to sync, you’ll click the sync button. Once I click that, a number of things will happen. You’ll get prompted for an installation of the synchronized application which is sometimes called onedrive application or SkyDrive application, if you get that prompt to install, you can go ahead and run that installation.

Since mine has already installed, I will get the sync Now button. I’m going to go ahead and click the sync Now button. It’s going to ask me a few questions since this is the very first library I’m syncing. Do you want to sync the library documents from the team site? We will save the library. It’s going to default to your User Profile folder.

You have the ability to change that to another location if you want. I’m going to leave it and click sync now. This is going to create this folder structure on my own machine, I can even take a look at them. My files have created a new shortcut called SharePoint, I have my documents library. If I open that up, I will see the files and folders in that library.

The green checkmark means that synchronization is complete. Blue arrows mean that it’s still syncing, those are already done, it’s very quick. I can work directly out of this folder and out of my own machine, I can sync as many of these document libraries as I want including my onedrive. For instance, if I go to another document library and I click the sync button, it’s going to basically say go ahead. I am going to click the sync Now button, it will get ready, it will create the folder structure we need.

Under the SharePoint site, I have both libraries documents and product guides, if I double click that, I’ll see all those folders and files syncing to my machine. My machine will remain perfectly in syncing with the document library in the cloud. The arrows mean that synchronization is taking place, the green checkmarks mean that synchronization on those documents has done. I’ll do the same thing with my onedrive site. I’ll click onedrive.

Once I’m in the onedrive site, I’ll click sync now. We’ll create that folder structure. Those items will start syncing shortly. I have my SharePoint team sites, I have my onedrive for business. In a few moments, all of these files on my onedrive will start syncing down to my local machine. Those will show up.

I don’t need to worry about that anymore. I can work directly out of my Windows Explorer. I can open up documents from there, I can do what I need to do and work locally. I don’t have to worry about the cloud at all. Anything I do will sync up to the cloud, anyone who has synced with the document library will get those changes automatically.
