In this demonstration, I’ll talk to you about forms, there are lots of different ways to change and work with forms in SharePoint 2013, first of all, I want to show you how to get things back to the way it was in 2010. Forms will open in a new window, you can change that.
You’re going to list settings, under advanced settings at the bottom, you can change the launch forms in a dialog. If you click OK, you can go back to the tickets list and open a form. You’ll notice that it opens in a dialog, I think that looks much cooler, but that’s my opinion, that’s the one way to work with forms.
If you want to customize the forms, there are several ways of doing that too. I’m going to show you some of these ways to do that. First of all, I’m going to give you an overview of these and I’m going to do separate demos on each method of modifying form.
First of all, there’s the web-based section, you can find it under the lists tab, you can go into the default display form, this is a web part page, you can change this web part, you can add a web part, you can edit this web part by having a script link down. That’s a powerful way of doing it.
That’s the recommended way of doing it, that is coding, it is quite complicated, I’ll show that in a separate demo later too. I’m going to focus on the no code solutions. First, we can add web parts. For example, you can add information or videos in a web part, that’s one way of changing the form and stopping editing.
Another way is to use SharePoint designer. I’m going to open SharePoint designer 2013, I’m going to go into the lists and libraries, I am ging to find the IT tickets. I have the same forms there, I can go into the form and edit that. SharePoint designer has the code in 2013, it’s possible to edit this stuff, it requires quite coding, I wouldn’t recommend it, you can’t do it by another way, you can change the form.
You can go into the list and customize the form web information by clicking this button, you can go in and modify the form, this is what you see. It will not be developed further. Microsoft has announced that there won’t be InfoPath 2016, they have told that the end of life for the info ball product is 2023, so you’re introducing 2023 bug into your environment if you do this customization.
The fourth way of modifying the form is to use Microsoft Access, that won’t be a web-based form, it will be an access based form, but for some scenarios, that might work. I’m opening access in a regular Access database, I’m connecting to an external SharePoint list, you can connect to a list.
Once you’re connected to a list, you can select the list and create a new form, that form can be modified to your heart’s content, but you do need to have access to install that. That access is part of office 365 ProPlus, I’m going to show you more details in another demo.
This is an overview. I’ll go ahead and close this, that’s the fourth way of modifying. For another way of modifying the form is to work with the content types, I’m going to show you that in another demo so you can have several content types for different scenarios, that’s a very powerful, it is an easy way to modify the web forms.
There are several third-party applications that can make the SharePoint built-in forms editor much more powerful, for example, you have the Nintendo XCOM, they have a solution called name text forms, it allows you to build more powerful forms, but it is very powerful.
There is also something called dynamic forms, it’s a freeware, that’s the solution I admire. If you have the time to get yourself into that, that’s a solution you might want to look at too. Those are a few different ways of finding the SharePoint forms.
