Welcome to a brief introduction of the workday employee experience, we are excited to show you a new generation enterprise application that works the way, the workday is integrated, intuitive and accessible wherever you are, workday looks like your favorite consumer website and is designed for speed, ease of use and flexibility.
Workday is easy to access, you need a computer, workday URL and your Andrew ID, workday will utilize single sign-on, please keep in mind that this article is not meant to replace the training that will be provided prior to go, but it’s a chance to give you a feel for how employees will use the workday system.
To do this we will start by logging in as Kylie Judd, a full-time exempt employee at Carnegie Mellon University, after entering your Andrew ID, we are taken to the personal home page, this page is configurable and houses all of your important information.
On the homepage you will see icons that contain personal information, your pay information, benefits in time off, if you were an hourly employee, it would have an enter time icon as well, however salaried exempt staff will not be required to enter time worked.
Let’s begin by selecting the personal information icon, by clicking this icon we can see all of the things that we can do with our personal information, the column on the right is used to view that information, the column on the left is used to make any needed changes.
From the column on the left you can change your government ID information, for those of us in the US this will be our social security number, your contact information, your personal information, your emergency contacts, your legal name or your preferred name.
From the column on the right you’re able to view information about you, your addresses, your email addresses, records of any address changes, your legal name and preferred name and your contact phone number, to demonstrate how it looks to navigate the system, let’s change a phone number for one of our emergency contacts within workday.
We select emergency contacts from the left change column in order to update the information, the my emergency contacts window will now appear, from this window we will want to change the emergency contact phone number, in order to do this we must select the edit button for the specific contact that we wish to edit.
Once we select our edit button, this will then display the contact information with editable fields, we can change the phone number to the correct one, you can click OK to save our changes, after having selected OK, it will now show us the updated contact information.
We can now hit done in order to return to the my emergency contacts window, we can now see that the updated information is showing correctly, in order to return to our home page we can do so by clicking on the workday logo that is located in the top of the page.
By selecting the Pay icon, we have actions we can take as well as view only information, under actions we can change our federal withholding elections and make payment elections to maintain your direct deposit information, in workday we can easily spread our paycheck across multiple accounts.
We can also view our pay slips, as you can see from these icons all of this information and most of the screens in workday can be printed or exported to excel, filtered or graphed to excel from their current view, we will click on the workday logo to return to our home page.
By selecting the benefits icon we can see that we can change our benefits as a result of a life event, we can change dependents, we can change retirement savings information, we can also view our benefit elections or benefit elections as of a certain date and our current cost of our elected benefits. This is shown as a monthly cost.
By clicking on our total monthly cost, we are able to get a quick view of our current benefit elections, as we close out of benefits, we can see our options in the time off icon, we can request time off or make a correction to a time off request.
We can also view upcoming time off and time off balances or run a report for ourselves to see our time off results by a certain period, we also have our available balances in gray which is displaying an hour increments, your balances will be loaded as part of our conversion process.
Let’s see what it looks like to request time off, we’ll select the time off link, it will open up in a calendar view, to request time off simply click the days we want to select off, you can click on the request time off button, enter the type of time off we will be taking, enter the hours we will be taking per day and click Submit.
This will electronically route to the manager for approval, once the manager approves it, we will get an email notification that this request has been approved, as we return to the employee landing page, let’s highlight the workday inbox, workday will generate any necessary email notifications and action items that you either need to know about or act upon.
